1. Set Clear Objectives Beforehand

Start with a purpose. Share a concise agenda before the meeting so attendees know what to expect and how to prepare. Clear goals create a shared sense of direction and accountability.

2. Keep It Short and Focused

Attention spans are short, especially in remote settings. For regularly occurring meetings, aim for 30–45 minutes max. For meetings of a day or more like at Catalyst Ranch, break dayparts into segments and don’t forget break periods.

3. Start With a Warm-Up

Business is serious stuff. And while there are many roads we take to reach goals, the journey is better with laughing and shared joy. Recall an inside joke. Reference pop culture. Lean into nostalgia.

5. Invite Participation Early and Often

Don’t wait until the end to ask questions. Encourage input early, and be intentional about calling on different voices, especially quieter attendees!

6. Rotate Roles

Assign rotating roles like timekeeper, note-taker, or discussion leader. This keeps people engaged and gives everyone a reason to stay present.

7. Facilitate, Don’t Dominate

10. Gather Feedback and Iterate

Send a quick follow-up survey or ask for live feedback on what worked and what didn’t. Treat engagement as a process, not a one-time fix.
